- National Insurance number, UTR (personal and/or company)
- Passport / driving licence / photo ID (copies for AML purposes)
- Proof of address documents
Financial & tax data
- Income, expenses, bank statements, invoices
- CIS deductions, payroll data, PAYE codes
- VAT records, corporation tax computations
- Pension, dividend, property and investment data
Company data (where applicable)
- Certificate of Incorporation, M&AA, PSC register
- Director and shareholder information
- Statutory accounts and Confirmation Statements
Special category & sensitive data
We do not routinely collect special category data. Where benefits applications (Universal Credit, PIP, Carer's Allowance, etc.) require it, we may process health, family or disability information with your explicit consent.
Why We Use Your Data (Purpose)
- To deliver the accountancy and tax services agreed in the Engagement Agreement
- To meet our legal obligations to HMRC, Companies House and other regulators
- To comply with the Money Laundering Regulations 2017 (CDD, EDD, PEP and sanctions screening, record-keeping)
- To manage payments, invoicing and credit control
- To respond to your enquiries and provide ongoing support
- To send service-related notices (we will not send marketing without your opt-in)
Legal Basis for Processing
We process your data on one or more of the following UK GDPR bases:
- Performance of a contract — to deliver the services you engage us for
- Legal obligation — to comply with tax, company law, AML and accounting regulations
- Legitimate interests — for credit control, internal record-keeping and service improvement
- Consent — where you opt in to marketing or share special category data
Who We Share Your Data With
We do not sell your personal data. We share it only with:
- HMRC and Companies House — for statutory filings and agent authorisations
- Professional advisers (legal, tax, audit) where necessary, with your consent
- Trusted IT and cloud service providers (accounting software, secure file storage, email) under written contracts
- AML and ID verification providers for electronic KYC, PEP and sanctions checks
- Successor accountants upon disengagement, with your written authority (professional clearance)
- Banks and payment processors for invoice settlement
- Law enforcement or regulators where required by law (incl. Suspicious Activity Reports under POCA 2002)
International Transfers
Some of our cloud and software providers may store data outside the UK. Where this happens, appropriate safeguards (UK International Data Transfer Agreement, EU Standard Contractual Clauses or adequacy decisions) are in place. Details available on request.
How Long We Keep Your Data
Standard retention: 6 years after the end of the engagement, or longer if required by law (e.g. AML records: 5 years from the end of the business relationship; tax records: as required by HMRC).
After the retention period your data is securely deleted or anonymised. Records subject to legal hold (HMRC enquiry, litigation, complaint) are retained until the matter is resolved.
